What we collect, and what we do with it.

Two forms, a newsletter and a server log. That is the whole of it — and here is exactly what happens to each.

About this policy

Liv-Instyle Canada designs and builds custom cabinetry and renovations for homes across Hamilton, Halton, Peel, Waterloo Region and the surrounding counties. This policy explains what personal information this website collects, why we collect it, and what happens to it afterwards.

It is written to meet the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal law that governs how private-sector businesses in Ontario handle personal information. Seven pages of legal drafting would not make it any more binding, so we have written it to be read.

This policy covers the website. Information you give a consultant in your own home is handled under the same principles, and the project itself is governed by the written agreement you sign.

What we collect

We collect only what a form actually needs. Nothing on this site is gathered silently beyond the standard server records described at the end of this list.

Booking form
First and last name, email address, phone number, the street address, city and postal code we would be visiting, project type, the rooms involved, timeline, budget range, any notes you add, how you heard about us, and the appointment time you choose.
Contact form
Name, email address, phone number, city, the service you are asking about, your message, and how you heard about us.
Newsletter
Your email address. Nothing else, and no name is requested.
Server logs
Our hosting provider records standard request data — IP address, browser and device type, the pages requested and the time of each request. We also hold a short-lived record of your IP address to rate-limit form submissions and block automated abuse.

We do not ask for banking details, credit card numbers, government identification or health information through this website, and we do not want them. Please do not send them to us by email.

Why we collect it

Each field exists to do one job.

  • To prepare for and attend your in-home consultation. A consultant cannot arrive with the right samples, or arrive at all, without an address, a project type and a way to confirm the visit.
  • To answer the question you sent us, and to follow up afterwards if you asked us to.
  • To send the newsletter you subscribed to, and only that.
  • To keep the site available, to protect the forms from automated submissions, and to understand which pages are being read.

We do not build advertising profiles, we do not enrich your record with data bought from anyone else, and no decision about you is made automatically by software.

How long we keep it

Personal information is kept only as long as it serves the purpose it was given for, then deleted.

Bookings
Two years from the appointment date. Kitchen projects are often planned slowly, and clients regularly come back a year later to pick up where they left off.
Enquiries
Two years from your last contact with us, then deleted.
Newsletter
Until you unsubscribe. Your address is then removed from the list, and a suppression record is kept so you are not added back by mistake.
Server logs
Rotated by our hosting provider within thirty days. Rate-limit records live in memory for minutes and are never written to a database.
Signed projects
Where you go ahead with a project, the records tied to that agreement are kept for six years, which is the period Canadian tax and business record rules require.

Who it is shared with

We do not sell your personal information. We have never sold it, we do not rent or trade it, and we do not release it to anyone for their own marketing.

A small number of service providers process data on our behalf so the website can function. We name them by category rather than by product, because products change and a policy that names one goes stale the week we switch.

  • A database provider stores booking records, contact enquiries and the newsletter list on encrypted servers.
  • An email delivery provider sends your booking confirmation, our replies and the newsletter.
  • A hosting provider serves the website and keeps the request logs described above.

Each is bound by a written agreement to process the information only on our instructions, to hold it securely, and never to use it for their own purposes. Where a provider stores data outside Canada, that data can be reached by the courts and law enforcement of the country it sits in. This is true of every Canadian business using foreign providers, and PIPEDA requires us to say so plainly rather than bury it.

We will also disclose information where Canadian law compels it — a valid court order, a warrant, or a lawful demand from a regulator. We would tell you this had happened unless we were legally barred from doing so.

Cookies and analytics

This website uses only the cookies it needs to work: a session cookie that keeps a partly completed booking form intact while you fill it in, and a security token that protects form submissions from being forged. There is no advertising cookie, no tracking pixel and no third-party analytics script on this site.

If we add analytics later, we will update this policy and the date on it before the tool goes live, and we will choose one that reports on traffic patterns rather than on identifiable people.

One piece of third-party content does load: the contact page embeds a map from an independent map provider, and loading that page sends your IP address to them. The same address and driving directions are written out in text beside the map, so nothing is lost if your browser blocks the embed.

Your browser can block or clear cookies at any time. Blocking the essential ones will stop the booking form from submitting.

How we protect it

  • Every page and every form submission is served over an encrypted HTTPS connection.
  • Form submissions are rate-limited by IP address and screened for the signatures of automated posting.
  • Access to booking and enquiry records is limited to the people who need it to do the work — the consultant attending your appointment and the office staff scheduling it.
  • Providers are selected on the basis that data is encrypted both in transit and at rest.

No system is perfect and we will not pretend otherwise. If a breach ever created a real risk of significant harm to you, PIPEDA requires us to notify both you and the Privacy Commissioner, and we would.

Your right to see and correct your information

You can ask us what personal information we hold about you, why we hold it, and who we have given it to. You can ask us to correct anything inaccurate or incomplete, and to delete anything we no longer have a reason to keep.

We answer access requests within thirty days at no cost. If a request will take longer than that, or would carry a cost, we will tell you before we start rather than after. We may need to confirm who you are before releasing anything — that protects you, not us.

In narrow cases the law allows us to withhold information, for example where releasing it would reveal personal information about someone else. If that ever applies we will tell you which exception we are relying on.

How to make a request

Email yourstyle@liv-instyle.ca with “Privacy request” in the subject line, or call (365) 323-9000 during business hours. Tell us what you want to see, correct or delete, and give us a way to reach you.

Post reaches us at 717 Mohawk Rd, Ancaster ON L9G 2X1. This is an administrative office open by appointment, not a showroom, so please do not arrive without arranging a time.

If you are not satisfied

Tell us first. Most privacy concerns turn out to be a misunderstanding that a phone call resolves in ten minutes, and we would rather fix it than have you take it elsewhere unheard.

If we cannot resolve it, you have the right to complain to the Office of the Privacy Commissioner of Canada, the independent body that oversees PIPEDA. Their details are at the foot of this page. Complaining to them costs nothing and does not require a lawyer.

Changes to this policy

We update this policy when what we do changes, not on a schedule. The date shown at the top of the page always reflects the version you are reading.

If a change materially affects how we handle information you have already given us, we will email the address we hold for you before it takes effect, so you have the chance to withdraw consent first.

Make a privacy request

Access, correction and deletion requests all start the same way. Put “Privacy request” in the subject line and we will come back within thirty days.
